HELP Answers

Help, in the order it comes up.

Arranged by the moment in the day you are stuck at rather than by which part of the software owns it. If yours is not here, write and a person will answer.

08:00 Getting set up

Getting set up

How long does setting up take?
Minutes, not an afternoon. Choosing your trade at sign-up creates a real menu — services, prices, durations, opening hours and a first team member — so the first thing you see is something to edit rather than an empty screen. More →
Can I change the services it created?
All of them. Rename, reprice, change how long a job takes, delete the ones you do not offer, add your own. Nothing that arrives with the account is locked. More →
Do I need my own website?
No. Every business gets a booking page at its own address, ready to share. If you already have a site, the same booking page embeds into it. More →
Can I bring my customers across from another system?
Yes. We import from most booking systems and from older VoltsBook installs — customers, services, staff, appointments and payments, with the original appointment numbers preserved. Send us a database export and we will tell you exactly what carries. More →

09:12 Taking bookings

Taking bookings

Can customers pick their own person?
If you want them to. You can offer the choice, hide it, or lead with first available and let the people who care scroll to a name. More →
Can two people book the same slot?
No — and not because of a check that usually wins. The booking is serialised and re-checked inside the transaction, with the database itself refusing an overlap. The second person gets a clear "that slot has gone" rather than a double booking you find at 9am. More →
What about time off, holidays and a staff member being late?
Opening hours, per-person hours, per-service hours, holidays, blocked time and what is already booked all resolve together. A slot is only offered when every one of them allows it. More →
Can I take bookings for more than one location?
Yes. Staff are assigned to the locations they work at, and the booking page only offers a person where they actually are that day. More →

09:14 Money

Money

How do I take payment?
Stripe, PayPal or Square, in whatever combination suits you — the full amount, a deposit, or nothing online at all if you take payment in the shop. More →
When does a deposit actually get charged?
At the moment of booking, and the confirmation says what was paid and what is left. Deposits are set per service, so a four-hour job can ask for one and a fifteen-minute one need not. More →
Can I refund from inside VoltsBook?
Yes, in full or in part, and the appointment, the invoice and any staff commission all follow the refund rather than needing to be corrected by hand. More →
Does it do invoices?
Real PDFs, from five designs, with your logo and business details. They are generated from the appointment’s own price lines, so an invoice cannot disagree with the booking behind it. More →

16:40 Messages and reminders

Messages and reminders

What gets sent, and when?
Twenty ready-made messages you switch on or off: booked, reminders at a day, six hours and an hour, rescheduled, cancelled, paid and a follow-up — each by email, text, or both. More →
Will a customer ever get the same reminder twice?
No. Every message is claimed before it goes out, so a job that fails halfway and retries finds the claim and stops. More →
Do texts cost extra?
Texts cost money per message wherever you send them from. You can buy credits from us, or connect your own Twilio account and pay your carrier directly. Email is unlimited on every plan. More →

18:00 Your account

Your account

How do I cancel?
One form, a typed confirmation, and you keep access until the date you have paid through. You can export everything on the way out and resume in one click. There is no phone call. More →
Can I get my data out?
At any time, and it is a complete file rather than a summary. Your customers can request their own copy from the booking page too. More →
Who can see what?
Each staff login carries only the permissions you give it, and you can limit a person to their own appointments and customers rather than the whole business. More →
